The short answer
Yes, you can file taxes by uploading your W-2. With TaxFile you upload a PDF or a phone photo (JPG, PNG or WebP, up to 10 MB), it reads Box 1 wages, Box 2 federal withholding and Boxes 16 and 17 for the state, and shows each figure next to the box it came from so you confirm it before it goes on the return. The same upload works for a 1099-NEC, 1099-K, 1099-MISC, 1099-INT, 1099-DIV, 1099-G and 1098-E. Plans are $39 a year for a W-2 return, $89 with self-employment income, state return included, no free plan.

What it handles
Prepared, checked and ready to review
TaxFile reads your W-2s, 1099s and receipts, classifies your income, finds the deductions and credits you qualify for, runs an error and audit-risk check, and assembles a return you review and approve before filing.
- Reads wages and withholding from your W-2 upload
- Shows each figure alongside its source box
- Accepts other supported tax forms in the same return
- Includes the state return in every plan
- E-files through an authorized IRS e-file provider after approval
Why TaxFile
One place to prepare, check and file your return
Not a 90-screen interview, not an expensive preparer, and not bare DIY forms. Upload or chat, find your deductions, run the error check, and review before filing, all in one place.
Reads your documents
Upload your W-2s, 1099s and receipts or just answer a few questions. TaxFile reads everything, classifies your income, and fills the forms, so you skip the long interview the old software puts you through.
Finds your deductions
Built for 1099 and Schedule C income, TaxFile surfaces the write-offs and credits you qualify for, each with the dollar amount and a plain-English reason, so you claim what is yours.
Checks before you file
An automated error, consistency and audit-risk check runs over your whole return. You review every figure and approve it, and it is e-filed through an authorized IRS e-file provider only when you say so.
How to upload a W2 and file your taxes
- Photograph the form or download its PDF. Lay the W-2 flat in daylight, with all four corners in frame. Keep the phone parallel to the page so the boxes stay square. Payroll portals such as ADP, Paychex, Gusto and Workday commonly let employees download a W-2 PDF. A PDF with a text layer reads exactly, with no guesswork about the printed digits. Choose that file when available.
- Upload it to TaxFile. Use JPG, PNG, WebP or PDF, up to 10 MB. An iPhone saves photos as HEIC by default. Export the image as JPG or set the camera to Most Compatible before taking it. Keep a copy of the original document.
- Check every figure box by box. Compare wages, federal withholding and state figures with the paper or PDF. Check the tax year, employer details and your identifying information too. Correct a misread figure before clicking to add it.
- Add the other forms. Include every employer, your spouse's forms on a joint return, and any other income documents. Use the tax documents checklist to gather what applies to your year.
- Review and approve the finished return. Read the federal and state returns, resolve discrepancies, and approve filing. The return is then e-filed through an authorized IRS e-file provider. Our online tax filing guide explains the filing process.
Which W2 boxes the upload reads and where they go
The W-2 separates taxable wages from tax already paid. Check the box label along with the amount, especially when several wage figures look similar.
| Box | What it is | Where it lands on the return |
|---|---|---|
| Box 1 | Wages, tips and other compensation | Form 1040 line 1a |
| Box 2 | Federal income tax withheld | Form 1040 line 25a |
| Boxes 16 and 17 | State wages and state income tax withheld | The state return |
| Box 12 codes and Box 14 | Coded benefits and other employer entries, shown for review | You confirm these yourself and check the treatment for each code or item |
Boxes 3 and 5 show Social Security and Medicare wages. They are useful for checking the form, but they do not replace Box 1 for federal income tax. Pretax benefits can explain differences between these wage totals. Do not change Box 1 simply to match another box.
Withholding is a payment toward your tax, not the amount of tax you necessarily owe. The tax refund calculator gives an estimate before the full return is prepared.
Which tax software lets you upload a W2
Uploading a file, importing employer data and photographing a form are different ways to enter the same information. Compare the method available on your device and the price with a state return included.
| Software | How the W-2 gets in | Price for a W-2 return with one state |
|---|---|---|
| TaxFile | PDF or photo upload, each figure shown against its box | $39 a year, state included |
| TurboTax | Employer import, file upload, or a photo through the mobile app or a QR code link. Phone needs iOS 17 or Android 10 or newer | Free Edition $0 only for simple Form 1040 returns. Deluxe $79 plus state |
| H&R Block | Photo capture through a secure link sent by text, opening in the phone browser with no app needed. Some employers send W-2 data directly if you opt in | Price varies by tier. Check H&R Block for the applicable federal and state price |
| FreeTaxUSA | Imports a W-2 from a PDF or a photo | $0 federal, $15.99 per state |
| TaxSlayer | W-2 and 1099 import is listed on paid tiers | Classic was $44.99 plus $47.99 per state from April 2026, compared with $22.99 plus $39.99 in January 2026 |
If your return is a single simple W-2 and you qualify for a free product, a free product is the cheaper answer. TaxFile is for filers who want the forms read and the deductions swept for them. Check TaxFile pricing and the broader tax software comparison before choosing. Competitor prices can change during filing season.
What happens to the photo of your W2
TaxFile stores uploaded documents encrypted and reads the figures for your review. Nothing read from a document reaches the return until you click to add it. You can delete a document, and its figures come off the return. Check the resulting totals if you remove a duplicate or replace a poor image.
A W-2 carries your full Social Security number, along with your pay and identifying information. Never email it or upload it to a site that does not encrypt it. Confirm the site address before selecting a file. On a shared computer, sign out when finished and remove any local downloads you do not intend to leave there.
Keep your own tax records after filing. A document upload and approval to file are separate actions. Read the return itself rather than assuming that a successful upload proves every figure is correct.
When the upload cannot read your W2
Glare can wash out a decimal point, and a folded corner can hide the state withholding. Retake the photo with the page flat and the light coming from the side. Check the smallest print at full size before uploading. The figures can always be typed in by hand if a better photo or PDF is unavailable.
A handwritten form needs particular care. A corrected W-2, Form W-2c, shows corrections to an earlier form, so do not treat both documents as separate wage payments. Read the correction against the original and confirm the correct totals. Ask a tax professional if you cannot reconcile them.
If your W-2 has not arrived by early February, ask the employer first. The deadline for employers to furnish W-2s for 2025 was February 2, 2026, because January 31 fell on a Saturday. Check the payroll portal and confirm your mailing address. If the employer still does not provide it by the end of February, contact the IRS.
Form 4852 is a substitute W-2 when the employer never sends one. Use pay records to estimate wages and withholding and explain the efforts to obtain the form. A substitute requires careful manual figures, not a photograph of an ordinary W-2.
Upload a W2 and a 1099 in the same return
A W-2 job and side-business income belong on one Form 1040. Wages go on the wage line, business income and expenses go on Schedule C, and Schedule SE calculates self-employment tax when required. This return needs the $89 Self-Employed plan, including the state return.
You can upload the W-2 and your supported 1099s in the same preparation flow. Gather expense records too. A 1099-NEC reports payments, not your profit after supplies, platform fees or other business costs. Report business income even when the payer sends no form.
A 1099-INT for bank interest does not by itself mean you are self-employed. A 1099-K can include payments that need explanation, so check what each payment represents before reporting it as business income. The guide to tax software for W2 and 1099 income explains how wages and side work fit together.
